How to give read-only access to Typeform
Read-only access lets you invite someone into your Typeform workspace with a "Can view" role, so they can review your forms and analyse your responses without being able to create, edit, duplicate, or delete anything. People grant read-only access when they want an accountant, consultant, or another adviser to look at how their forms and data are set up, while keeping full control of the account. This guide walks through inviting a viewer step by step, and access can be removed at any time.
Access to grant
Read-only "Can view" workspace member. Can view forms and analyse responses, but cannot create, edit, duplicate, or delete forms.
Who you're granting access to
- Anyone you need to give view-only access to: a bookkeeper, accountant, consultant, or another adviser who needs to review your forms and responses.
Before you start
- You need to be a Workspace Owner (the person who can manage members in the workspace).
- A Plus plan or above, which is what allows you to invite people into a workspace.
- The email address of the person you are giving access to.
Step by step
- 1
Open the workspace you want to share
Sign in to Typeform and open the workspace that holds the forms you want to share. Each workspace has its own members, so pick the one with the relevant forms.
- 2
Open the invite panel
Click the Invite icon next to the workspace name. This opens the panel where you can add people and see the current list of workspace members.
- 3
Enter the email and choose "Can view"
In the "Invite users to this workspace" field, enter the email address of the person you are giving access to. Click the role dropdown and choose "Can view". This is the read-only role.
- 4
Send the invitation
Click Invite. Typeform emails the person an invitation to join the workspace. Once the person you invited accepts, they can view your forms and responses but cannot change anything. Nothing in your forms or responses changes when they accept.
Removing access afterwards
- Open the workspace and click the Invite icon next to the workspace name.
- Find the member in the list and click the dropdown arrow next to their name.
- Select "Remove from workspace" to revoke their access. It ends immediately.
If that option is not available
If you would rather not add a member, you can publish a responses report (open the form, go to the Results panel, then the Summary tab, and click Share to copy a link), or simply share your screen on a short call and walk an adviser through your forms. Never share your password.
Frequently Asked Questions
No. A "Can view" member can look through the questions in a form and analyse responses, but cannot create new forms, edit, duplicate, move, or delete existing ones. It is the safest way to let someone review your forms.
No. A viewer can read through the questions in a form, but they do not see the question settings, logic structure, or design elements, and they cannot add, duplicate, or remove questions. If a form is already published, a viewer can still share it.
Inviting people requires a Plus plan or above, and each plan includes a set number of seats. A Plus subscription lets you invite up to two additional users to your workspace. If you are already on Plus or higher with a free seat, adding a viewer does not change your cost.
Open the workspace, click the Invite icon, click the dropdown next to the member, and choose "Remove from workspace". Access ends straight away, so you can revoke it the moment the review is finished.
If you are not on a plan that allows workspace members, you can publish a shareable responses report from the Results panel, or share your screen on a short call. Both let an adviser review what they need without adding an account.
