How to give read-only access to Class

Read-only access lets you invite someone into your Class business so they can review your SMSF administration and see how your data flows, without being able to create, edit, post, or delete anything. People usually grant it so a bookkeeper, accountant, auditor, or another adviser can look at the numbers and the setup while every record stays exactly as it is. Class has a true read-only relationship called Fund Auditor, so this is a safe way to let someone review without touching your data, and you can remove the access at any time. This guide walks through inviting a read-only user from the Maintain Users screen and revoking that access later.

Access to grant

Fund Auditor relationship. Full read-only access to the entire business by default, with no ability to create, edit, post, or delete any data.

Who you're granting access to

  • Anyone you need to give view-only access to: a bookkeeper, accountant, auditor, consultant, or another adviser.

Before you start

  • You need to be an Access Controller for the business. Only an Access Controller can see the Maintain Users screen and invite people.
  • If you are not an Access Controller, a senior employee or the business owner can email support@class.com.au to have one set up first. State the full name and email address of the person to be made an Access Controller.
  • The first name, last name, and email address of the person you are giving access to.

Step by step

    Open Maintain Users

    Sign in to Class as an Access Controller. From the Business Level, go to Business, then choose Maintain users. If you cannot see Maintain users, you are not yet set up as an Access Controller, so use the fallback below or arrange one first.

    Add a new user

    On the Maintain Users screen, click New User. Enter the email address, first name, and last name of the person you are giving access to. Repeat for each person you want to add.

    Set the relationship to Fund Auditor

    From the Relationship drop-down, select Fund Auditor. This relationship has full read-only permission to the entire business by default and cannot make any changes or amendments to your data. Do not choose Fund Administrator, as that allows editing.

    Submit the invitation

    Click Submit. Class shows a confirmation that the email invitation has been sent. As an Access Controller you also receive a copy of the invitation, which you can forward if it does not arrive. The person you invited accepts the invitation and completes multi-factor authentication setup, which Class requires for every user before they can sign in. From then on they can view your business but not change anything. Nothing in your data changes when they accept.

Removing access afterwards

  1. From the Business Level, go to Business, then Maintain users.
  2. Find the user in the list and click Revoke under the Invitation Status column, then click Ok. Their access shows as Access Suspended straight away.
  3. To remove them completely, click Remove under the Role tab. Only an Access Controller can revoke or remove a user.

If that option is not available

If you would rather not add a user, you can share your screen on a short call and walk an adviser through Class while they map it. No one ever needs your password or your login.

No. The Fund Auditor relationship is enough for reviewing the business, and it cannot change anything. A higher relationship is only needed for work that requires editing, and the reason should always be explained before it is granted.
